Microsoft has recently announced an initiative to bring their cloud-powered Office 365 platform (including email, productivity, and collaboration software) to nonprofits at free or greatly-reduced prices. There are several plans available and it might not be immediately easy to figure out which is best for you. A: Office 365 Enterprise E1 for Nonprofits: This plan is now available for FREE to all nonprofit organizations with a current 501(c)(3) status (IRS determination letter required). Office 365 Enterprise E1 includes full cloud-based capabilities with Exchange, SharePoint and Lync Online. It includes limited Web Apps for Word, Excel, OneNote and PowerPoint and but does NOT include licensing for the full Office client to install on the workstations.
B: Office 365 Enterprise ProPlus for Nonprofits: This can be added on to the Office 365 Enterprise E1 for Nonprofits for $2/user/month. This provides the latest, current Office applications (PC or Mac) to be installed on up 5 of each user’s computers (desktop, laptop, home computer, etc.). This subscription automatically includes newest Office versions as they are released (currently 2013 for PC and 2011 for Mac). This subscription also includes Office Mobile applications for install on up to 5 mobile devices (iOS, Android & Mobile) for each user. This add-on would replace the previous equivalent cost of about $30-$40 per computer per year to purchase and maintain Office traditional charity licenses.
C: Exchange Online Archive: This can be added on to the Office 365 Enterprise E1 for Nonprofits for $1/user/month. It adds unlimited storage for archived email with access from multiple devices, including through the Outlook Web App. It also includes retention policies, eDiscovery and legal hold capabilities.
D: Office 365 Enterprise E3 for Nonprofits: This plan is available for $4.50/user/month and includes all features of options A, B and C above plus additional SharePoint enterprise features to allow users to publish InfoPath forms, Access databases, Excel services spreadsheets, etc. E3 users are needed to create and publish these advanced capabilities but are not required to use them (just to fill out a form, etc.). The E3 plan also includes capabilities for interfacing with some ministry applications for advanced Business Intelligence reporting.
